The Basics
The Integrator/Director of Operations is in charge of bringing the CEO’s ideas to life. She tells you what and you figure out how, then delegate the implementation and execution to the appropriate team member, modeling the way, always working toward the greater good of the business.
This role is arguably the most important role on our team as you are the glue that holds us all together.
P.S. If you haven’t read the book Rocket Fuel to understand what an Integrator truly is, I recommend reading it before you apply.
LOCATION: Atlanta, Georgia is preferred, though not required; primary remote work arrangement with occasional in-person attendance

Results Responsible For:
Making the CEO’s vision a reality through team and operations management
You are the protector of the CEO’s time, ensuring she can be a leader and Visionary and NOT a manager and implementer
You are responsible for filtering and translating the CEO’s ideas into functional plans for the company.
You ensure everyone is truly following, and adhering to, the company’s core values and SOPs.
You are responsible for building the infrastructure of our organization, owning company culture, and building a motivated team of dedicated believers that will help us achieve our company goals.
This role is heavily involved with the strategy and the implementation of our project management, annual/quarterly plans, meeting cadence, and operational systems—including finance, legal, and technical systems and team growth.
Oversee ongoing streamlining of systems + working through issues with efficiencies, processes, and overall operations.
You must be willing to contribute and collaborate, not just “do the tasks”. We want your point of view.
Proactively identify and mitigate issues and risks keeping the company compliant. Creatively solve problems and bottlenecks to keep projects on track.
Optimizing our operations and finding coaching when opportunities arise.
Job Responsibilities + Tasks
Regularly report to Visionary/CEO on the efficacy of ongoing initiatives and create and maintain company dashboard that assesses marketing, sales, operations, and delivery with metrics (i.e. traffic, conversion rates, advertising, ROI, etc.).
Make data-driven decisions to move the team and our content forward to hit company goals.
Create and maintain metrics reports on marketing and sales activities.
Track whether promos are set to meet financial goals and notify team if and when we need to pivot
The Integrator plans and leads all team meetings and schedules additional meetings, reviews, check-ins as needed.
Create agendas, capture notes, assignments and deadlines and ensure notes get turned into actionable tasks in Asana.
Summarize business status in a weekly report for CEO.
Manage our team members and outside vendors to ensure we’re all rowing in the same direction and getting results from our efforts
Supervise all employees and contractors and conduct weekly team check-ins (reviewing their 15-5s) and ensure maximum performance for our team.
Empowering the team to make more of their own decisions so the CEO can make less and ensuring our core values are used in decision-making in all departments.
Providing assertive, direct feedback to the team using radical candor and resolving issues effectively—you are comfortable with conflict, calling out the problems, and solving the problems in a practical and healthy manner.
Getting status updates from the team daily via Voxer
Reinforcing the mission and goals with our team so that we make certain that we are moving toward the CEO’s vision.
You are responsible for figuring out when we need to hire/fire, and managing the entire hiring process, including recruiting a team of A-players, conducting interviews, creating skills tests, preparing offer letters, and HR/Onboarding of new team members
Managing, reviewing, and approving all PTO requests
Staying up to date on HR and compliance laws, regulations, changes, and best practices
Managing employee promotion transition
Creating, reviewing, and managing job descriptions, keep them up-to-date
Maintaining an updated organizational chart
Managing employee compensation, benefits, bonuses, and training
Maintaining, encouraging, and increasing employee satisfaction, wellness, happiness, and retention
Processing and executing payroll and invoice payments
Reviewing and processing reimbursement requests
Maintaining an up to date Employee Handbook
Responsible for hearing, addressing, resolving, and mediating team member issues, conflicts, complaints, overwhelm, dissatisfaction, etc.
Report to Leadership Team if changes need to be made to company policy (either due to personal opinion, improvements, or legal changes)
Responsible for the creation, management, and organization of the HR folder and personnel files
Serve on the leadership team and be a leader within the company, ensuring we are all healthy, functional, and cohesive.
Create and document SOPs and policies and systemize the business operations so we are all following a clear, consistent plan and have resources for future hires.
Build out projects in Asana (milestones, tasks, and subtasks) and monitor projects on a daily basis for all team members, ensuring deadlines are met, the right person is assigned to tasks and everyone knows what they’re supposed to be doing and when.
The Integrator tests everything, serving as the final check before something goes live.
The Integrator is responsible for knowing if the work being delivered by the team is on brand and of appropriate quality.
Work with the virtual CFO to set budgets for all our programs and projects.
Manage the relationship with our outsourced accounting company to ensure that we continue to have up-to-date and accurate bookkeeping.
Review reports alongside CEO each month for opportunities and trends.
Oversee all technical systems and advise when necessary.
Decide on which tools and systems will be used for each of our projects.
Supervise customer support functions and team members. Always optimizing our client/customer experience.
Anticipate, identify, prevent and resolve conflicts as they arise.
Partner with the Marketing Manager to ensure launches and projects run smoothly and goals are attained.
Prepare and deliver “State of the Business” report each quarter.
Expectations
The CEO feels supported—all tasks are held and nurtured, without the CEO’s input with a delegation level or 4 or 5 on almost everything.
Provide a weekly status update to CEO.
Identify and solve problems with little to no involvement from the CEO.
You are the one holding the team accountable, checking their work, making sure deadlines are met, etc. Not the CEO. Closing the loop on projects to ensure they’re brought to 100% completion without needing to involve the CEO
If we’re working with an outside vendor, you (in tandem with the Marketing Manager) are responsible for ensuring we are getting an ROI, seeing results and if not, coming up with a solution whether that’s finding a new vendor, trying a new strategy or removing the task from our list as a whole.
You need to be comfortable and confident saying NO to the CEO (or at least, not right now) when the team doesn’t have the bandwidth to execute her ideas
There needs to be a clear system in place for organizing the CEO’s ideas and suggestions so that they aren’t forgotten
While you are tracking the data and analytics, it’s important to not only know the numbers and alert the CEO of important metric changes, but also to come up with suggestions to improve when we’re not hitting our goals
You’ll be great in this position if you…
Are available to work Monday through Friday from 9 AM to 5 PM Eastern.
Have experience working in an operations or project management role in a high-growth organization.
Highly developed interpersonal and leadership skills

Must have great human and business instincts and be able to confidently articulate a well- informed point of view

Follow company security protocol and retain a high-level of discretion and confidentiality when it comes to company and client information.

Ability to assess company progress based on data

Highly detailed and organized, with exceptional problem-solving abilities.
Independent, self-starter who executes tasks on time, every time.
Strong communication skills and willingness to take constructive feedback.
Tech savvy. Comfortable with tech software and willingness to adapt and learn new software quickly.
Works with no attitude and no ego
Loyal, hardworking, and comfortable in a fast-paced small-business environment where priorities can change quickly.
Able to travel to live events for our company (client events and retreats)
Available to attend and lead Team meetings.
Are a self-starter, eager to take initiative and anticipate the needs of the team, partners, customers, and readers. If you don’t have the answer, you find it.
Never miss a deadline, and can handle tight turnarounds (i.e. you work well under pressure), last-minute requests, and quick changes.
Prefer a team environment in a supportive role, rather than being the owner/CEO/visionary/face of the business. This is a behind-the-scenes job and you need to be comfortable without public recognition.
Inherently compassionate, empathetic and truly want to help others.
Take ownership and pride in your work, whether you’re writing a podcast outline, crafting a sales email, or fixing a typo.
Have dedicated childcare (if necessary) so you can focus and be available for calls during work hours.
Prefer to work in an honest, candid environment; Have thick skin that can handle direct, honest feedback, be coachable with no ego and course-correct when needed.
